How to Create Recurring Work and Never Miss Routine Tasks

Set up recurring work, assign it, establish due dates and priorities, and understand how future work is generated.

Routine operations fail quietly when they live only in someone's memory. Recurring work in DeptOps turns those habits into assigned items with due dates, priorities, and a trail of completion.

Create recurring work

  1. Open Work and choose Create work.
  2. Enter What needs to be done?, select Department, and set Due and Priority.
  3. Assign the work to a person, or assign it to a department when the team owns it collectively.
  4. Open More options and set Repeats. Recurring work is available on Team plans and above.
  5. Choose a pattern such as daily, weekly, weekdays, monthly, yearly, every N days, or quarterly.
  6. Optionally enable Skip organization holidays so occurrences are not created on holiday dates.
  7. Link a Related responsibility, add a checklist, or attach a Required form when the routine needs structured evidence.
  8. Save.

How future work is generated

When you create recurring work, DeptOps stores a work definition and generates upcoming occurrences based on the due date and recurrence pattern. Occurrences are created for the near-term window (about the next 90 days). As time moves forward, additional occurrences are generated so the routine stays ahead of the calendar.

  • Each occurrence is real work with its own due date and completion state.
  • Editing an occurrence lets you apply the change to that occurrence only, or to it and future occurrences.
  • Holiday skipping applies when you enable it and organization holidays are configured.
  • Checklist steps attach to the created occurrence so the first instance is ready to complete.
  • Overdue handling can remind the assignee or escalate to managers after a delay, if you configure it under More options.

Assignment, priority, and completion

  • Priority options are low, normal, high, and critical. High and critical overdue items can surface in Needs Attention.
  • Managers can assign work to others. Users typically work items assigned to them or their primary department.
  • Completion requires checklist items finished, any required form submitted (and approved when review is required), and no blocking work still open.

Use My Work for the day-to-day view of what is due, and Needs Attention when high-priority overdue or blocked items need intervention. Recurring definitions continue generating future work so the routine does not depend on someone remembering to recreate it.
