A Responsibility is an ongoing area of accountability. It answers who owns the area, who backs it up, which department it belongs to, and which work keeps it healthy. Work is what needs to be done. Responsibilities are what the department owns over time.

Create a responsibility

  1. Open Responsibilities and choose Create responsibility.
  2. Enter Name, Department, and Description.
  3. Choose a Primary owner, or leave Unassigned if ownership is still open.
  4. Either assign a Backup owner or check Backup not required.
  5. Add optional Tags, then save.

Primary and backup owners

  • Primary owner is the person accountable for the area.
  • Backup owner is the standing second person when the primary is unavailable.
  • Backup not required is for areas that truly do not need a second owner.
  • A missing or inactive primary owner, or overdue critical-priority linked work, makes health Critical. A missing or inactive required backup, or overdue/blocked/due-soon linked work, makes health Needs Attention.

Edit ownership anytime from the responsibility drawer. Keep names and departments current so health signals stay trustworthy.

Participants, temporary coverage, and resources

DeptOps also models related operational information on a responsibility:

  • Participants are people connected to the responsibility beyond primary and backup ownership. They appear in transfer and offboarding counts so participation can move with a role change.
  • Temporary coverage names a person covering for a period, with an optional through date. When coverage is set, the responsibility detail shows Temporary coverage separately from the standing backup.
  • Resources are related links shown on the responsibility detail so instructions, runbooks, and references stay with the owned area.

Use Role Change / Transfer on a person when you need to move primary ownership, backup assignments, participation, or temporary coverage to someone else. Open the responsibility detail to review ownership cards, related work, resources, and health.

Connect related work and operational information

  1. When creating work, open More options and choose Related responsibility.
  2. Optionally attach a Required form, checklist, recurrence, or blocked-by work item.
  3. On the responsibility detail, review Related work so execution stays visible next to ownership.
  4. Use Duplicate on a responsibility (when available for your role) to start a similar owned area without rebuilding every field.

Strong responsibilities are specific enough to own and broad enough to last. Prefer names like Vendor renewals or Access reviews over one-off task titles.
