How to Set Up Backup Owners and Temporary Coverage

Assign backups for important responsibilities and configure temporary coverage when someone is unavailable.

Operations fail during vacations, illness, and role transitions when only one person knows an area. DeptOps separates standing backup ownership from temporary coverage so you can keep both durable redundancy and short-term handoffs clear.

Assign a backup owner

  1. Open the responsibility and choose Edit.
  2. In Ownership, leave Backup not required unchecked for important areas.
  3. Select a Backup owner who can step in when the primary is unavailable.
  4. Save and confirm the Backup card on the responsibility detail.
  • Use Backup not required only when a second owner truly adds no value.
  • A missing required backup, or an inactive backup, can put the responsibility into Needs Attention health.
  • Backup responsibilities also appear in My Work as awareness, separate from assigned work.

Understand temporary coverage

Temporary coverage is a time-bound covering person on a responsibility. When coverage is set, the responsibility detail shows a Temporary coverage card with the covering person and an until date (or further notice). This is different from the standing backup: coverage is for a defined period of unavailability, while backup is the ongoing second owner.

Prepare when someone will be unavailable

  1. Confirm every critical responsibility has a primary owner and a backup owner.
  2. Review related open and recurring work so assignees are clear before the absence starts.
  3. If ownership itself needs to move for a period or permanently, open the person in People and use Role Change / Transfer.
  4. In the transfer flow, include Temporary coverage assignments when those ties should move to the destination person.
  5. After the change, open affected responsibilities and confirm Primary, Backup, and Temporary coverage cards look correct.

Standing backups reduce surprise. Temporary coverage and transfer keep the record accurate when the people behind the work change for a week or for good.
